Who we are

Hideout Wellness is a sauna, cold plunge and social bathhouse in Da Nang, Vietnam. This policy explains what personal information we collect when you reserve a visit, join Hideout Circle, or use our website, and what we do with it.

The organisation responsible for your information is Hideout Wellness, at B3-37.06 FPT City, Ngu Hanh Son, Da Nang, Viet Nam.

What we collect

When you reserve a visit

• Your first name, and your last name if you give it
• Your email address — required, because that is where your QR code is sent
• Your phone number and preferred messaging app, if you give them
• The size of your party, and the date and time you have booked
• Anything you write in the notes field — special requests, celebrations, allergies
• The language you viewed the site in

The notes field is free text and reaches our staff as you write it. If you tell us about an allergy or a medical condition so that we can look after you properly, we treat that as information about your health and handle it with more care than the rest: it is used only to prepare for your visit, and only staff working that visit see it.

When you join Hideout Circle

• The same contact details above
• Your membership tier, and the visits that earned it
• Which perks you have been given and whether you have used them

When you visit us

Every reservation carries a QR code, and every Circle member has a permanent one. When staff scan it at the door we record that you arrived, when, and which staff member checked you in. That record is what confirms a visit and moves your membership forward.

When you use the website

If you sign in to Circle we set a cookie so that you stay signed in. It is essential to the service and is not used for advertising or tracking. Our hosting provider keeps standard server logs, including IP addresses, for security and reliability.

We do not sell your information, and we do not run advertising trackers on this site.

Why we collect it

• To hold your reservation and send you the QR code you need to get in
• To prepare for your visit, including anything you have told us about allergies or accessibility
• To run Hideout Circle — recognising you, tracking visits, applying the right rate
• To contact you about a booking, such as confirming it or telling you if something changes
• To keep our own records of who visited and when, as any venue does

We send you email because you asked us to — you booked, or you joined Circle. Every non-essential email has an unsubscribe link, and unsubscribing does not affect emails about a booking you have made.

Who we share it with

We use a small number of outside services to run the business. They only ever get what they need to do their job.

• Postmark — sends our email. Receives your name and email address.
• Google Workspace — our own email inboxes, where your replies arrive.
• Vercel — hosts the website.
• Turso — hosts the database your reservation and membership records live in.

Some of these companies are based outside Vietnam, which means your information may be stored or processed abroad. We choose providers who commit to protecting it.

We may also share information where the law requires it, or where we need to protect the safety of guests and staff.

How long we keep it

We keep your reservation and membership records for as long as you are a Circle member, and for a reasonable period afterwards so that your history is still there if you come back. Notes about allergies and requests are kept with the reservation they belong to.

If you ask us to delete your information we will do so, except where we have to keep something for accounting or legal reasons.

Your rights

You can ask us to:

• Tell you what information we hold about you
• Correct anything that is wrong
• Delete your information
• Stop sending you email
• Give you a copy of what you have provided

Write to enter@hideoutwellness.com and we will respond. We may ask you to confirm your identity first, so that nobody else can make a request in your name.

If you are in the European Economic Area or the United Kingdom, you also have the right to object to how we use your information and to complain to your national data protection authority.

Age

Hideout is an adults-only venue. Entry is limited to guests aged 18 and over, and our services are not directed at anyone under 18.

We do not knowingly collect information from under-18s. If you believe a child has given us their information, write to enter@hideoutwellness.com and we will delete it.

Changes to this policy

If we change how we handle your information we will update this page and change the date at the top. If the change is significant, we will tell you by email.
